At Riders Refuge we will endeavour to bring you great active alpine holidays in winter and summer seasons. We have different  terms and conditions listed below for our catered and self catered properties please read and understand the terms and conditions that apply to you thoroughly and retain them for future reference.

These terms and conditions will form part of the contract between you as party Leader for your group and Riders Refuge Ltd .

The contract will be held when we receive a completed booking form, confirmation that you have read our terms and conditions and a deposit (25% of the total cost of the holiday)

 

CATERED CHALETS

The terms and conditions contained on this page together with your Booking Form comprise the contract between Riders Refuge and all persons listed on the Booking Form. The contract is deemed to have been made as soon as the Booking Form has been sent and completed by email from the Party Leader confirming that you have read and understood our terms and conditions, accompanied by a non refundable deposit of 25% of the total cost of your holiday.

The party leader will be the person coordinating the party he/she will then be responsible for all other members of their party, all matters relating to the booking and will also be accountable for all outstanding balances. The party refers to all persons booked to stay in the Catered Property listed on the booking form and also includes any subsequent changes of names to the original booking. If at any time, prior to the start of the holiday, there is a change of Party Leader Riders Refuge must be notified by email by the original Party Leader.

BOOKING

  1. Once availability of the catered chalet has been confirmed by Riders Refuge we will hold your holiday for 5 days, your booking is then secured upon receipt of 25% deposit paid by cash or cheque into a branch of HSBC, bank transfer, paypal or card payment. A completed Booking Form must also be submitted within 7 days to complete a reservation.
  2. If you agree to reserve a whole catered chalet on an exclusive use basis the party leader is liable for the full cost of that property, as stated on your booking form even if your party does not take every bed available in the chalet. If your party size exceeds the agreed maximum capacity of the catered chalet, as stated on your booking form, an additional charge will be incurred. Please note that providing there is an option we will strive to help without charge.
  3. The total amount of your outstanding balance must be paid 8 weeks prior to your arrival date. If you book within this time scale the full balance of the holiday must be paid at the time of booking to secure your booking.
  4. If you fail to send the deposit or pay any outstanding monies within the time scale stated then Riders Refuge reserves the right to cancel the booking the deposit will be forfeit. Riders Refuge will then rebook the chalet without further notice.
  5. Please note that any alterations you make to your booking or flights after you have received your receipt, that in turn influences any arrangements Riders Refuge have made on your behalf may then incur an administration fee of £25. This will be either added to your balance or be settled in resort on arrival. Please note that providing there is an option we will make every effort to facilitate.
  6. As party leader all payments for catered chalets on behalf of a group must be made in one lump sum. This applies to deposits and also final balances. Riders Refuge cannot accept multiple payments from multiple individuals for group bookings and you will incur a £25 administration fee which will be added to the total cost of the holiday.
  7. Under no circumstances are additional guests allowed to stay in the catered property other than those specified on the booking form. Failure to comply with this may result in your booking being terminated immediately in resort and you and your party being asked to vacate the relevant Catered Property immediately.No compensation will be paid for this.
  8. Unless you have a whole chalet booking room allocations cannot be guaranteed and may be changed at the discretion of Riders Refuge.
  9. It is a condition of your booking that you have a valid holiday insurance policy at the time of or before booking in case of any unforeseen circumstance which may lead you to cancel your booking.

PRICES

  1. Riders Refuge reserves the right to alter any prices at any point on their website. We do guarantee the price sent out to you on your booking form and your receipt unless you amend your booking in anyway.  We also guarantee you will not incur any surcharges after time of booking. There will be no hidden charges.
  2. The prices quoted on the Riders Refuge website is for catered chalet accommodation, shared transfers to and from Geneva airport, one week’s (7 nights) accommodation, 3 course evening meals with wine on 6 nights and breakfasts on 7 mornings (5 mornings there will be a hot cooked option). Prices do not include flights or travel costs, holiday and medical insurance, childcare, lift passes, equipment hire and lessons/guiding unless otherwise stated.
  3. Riders Refuge reserves the right to increase or decrease the advertised price of unsold holidays at any time.

PAYMENT

  1. Acceptable payment types are bank transfers, to our UK bank accounts, cash or cheque through a branch of the HSBC and with a credit or debit card through PayPal.
  2. If a payment is dishonoured we will contact the party leader to make immediate payment. Failure to achieve this will result in the automatic termination to the booking.
  3. As party Leader payments for catered chalets on behalf of a group must be made in one lump sum. This applies to deposits and also final balances. Riders Refuge cannot accept multiple payments from multiple individuals for group bookings and you will incur a £25 administration fee which will be added to the total cost of the holiday.
  4. Riders Refuge can not and will not be held responsible for charges incurred by yourself for international bank transfer costs or charges imposed on you by your bank or card issuer. This also includes payment discrepancies or additional costs caused by variations in exchange rates used by your bank or card issuer.
  5. In the event of late payment of your final balance, any charges or loss of revenue incurred on our behalf will be added to your balance. We reserve the right to cancel your holiday should you fail to pay your final balance. No compensation will be provided.
  6. Riders Refuge will endeavour to deal with any discrepancy during your stay. In the event that damage to one of our properties is not brought to our attention during this period, and is learned of after your departure, we will contact you within 72 hours of leaving the property to confirm additional charges to be processed.

CANCELLATION

  1. Due to circumstances beyond Riders Refuge control it may be necessary to make alterations to a confirmed booking or to cancel the booking completely. Whilst we will make every effort to ensure this does not happen, if it is unavoidable Riders Refuge will contact the Group Leader as soon as possible. In this instance Riders Refuge will endeavor to make alternative arrangements for accommodation up to the same value if available, offer an alternative holiday with Riders Refuge to the same value or offer a full refund of any monies paid in relation to the booking of a Catered Property. No other compensation will be offered.
  2. We cannot accept responsibility or pay compensation where the performance of our contractual obligations are prevented by or affected by events amounting to Force Majeure – meaning acts of war or threat of war, political unrest, terrorist activities, adverse weather conditions, volcanic ash clouds, strikes, acts of God, epidemics, riots, civil strife, industrial disputes, terrorist activity, natural or technical disasters, nuclear war and or similar events out of our control.
  3. The party leader must make any cancellations for any member of his/her party this must be done by email. Cancellations can be made at any time and Riders Refuge will not take responsibility for non-receipt of the written cancellation.
  4. It is a condition of your booking that you have a valid holiday insurance policy at the time of or before booking in case of any unforeseen circumstance which may lead you to cancel your booking.
  5. If a cancellation is made within 8 weeks of your arrival in resort the deposit will be retained and no refund on your holiday balance will be made.
  6. If cancellation is made before 8 weeks of your arrival the deposit will be retained and refunds made as follows;
  • 8-12 weeks 25% of your balance payment
  • 13-18 weeks 50% of your balance payment
  • 19-25 weeks 75% of your balance payment
  • 25+ weeks 100% of your balance payment

LIABILITY

Riders Refuge will not accept any liability where-so-ever or how-so-ever arising, or pay compensation for:-

  • Any Force Majeure event.
  • Adverse weather or traffic conditions, avalanche, mud slips, slides and snow conditions and the effect any of these may have on travel arrangements, accommodation and activities.
  • Limitations imposed by resort authorities, ski-lifts, ski school or ski hire.
  • Travel arrangements made by the group or on behalf of the group.
  • Any personal injury or death, where-so-ever or how-so-ever arising, caused to any visitor and/or any member of the group for their duration of stay.
  • Any temporary defect or stoppage in the supply of public services to the property, nor in respect of any equipment, machinery or appliance in the property or garden.
  1. These limitations are not intended to exclude any statutory rights the group and/or visitor may have.
  2. These terms and conditions and any non-contractual obligations arising out of or in connection with it are governed by English laws. The courts of England have exclusive jurisdiction to settle any dispute arising out of or in connection with these T &Cs (including a dispute relating to the existence, validity, termination of this T &Cs and any non-contractual obligation arising out of or in connection with either this T &Cs or the negotiation of the contract contemplated by these T &Cs).
  3. A person who is not a party to this Agreement has no right under the Contracts (Rights of Third Parties) Act 1999 to enforce any term of this Agreement provided always this does not affect any right or remedy of a third party which exists or is available apart from this Act.

ARRIVAL/DEPARTURE TIMES

  1. On the day of your arrival the chalet is available to your party after 16:00 however if you do arrive in resort earlier please leave your luggage at the chalet and you can go into town for refreshments. This applies to all guests.
  2. On the day of your departure you must vacate your rooms by 10:30. However if you wish to take advantage of time you have left in resort you are welcome to store your luggage at the chalet without any extra charge but we cannot guarantee you being given a room to change or shower in on your return. We will do our best to help.

TRANSFERS

  1. We ask the party leader to provide Riders Refuge with the correct arrival and departure flight information 8 weeks before your arrival date on your booking form. If you supply Riders Refuge with any incorrect information regarding flight times or flight number, or if for any reason due to your circumstances we have to book an additional transfer for you or any member of your party, then you will be charged the price stated on the Transfer Company’s website. This will be paid in resort.
  2. If you do not supply your flight information on your booking form 8 weeks before your arrival we will presume you are making your own way to resort.
  3. If Riders Refuge have to book a transfer for you or any member of your party outside our changeover days then the charge will be the price stated on the Transfer Company’s website. This will be added onto your balance or paid in resort.
  4. Your transfer is included in the price of your catered chalet holiday. For Winter our changeover day is Saturday in Chalet L’Hérens, Eterle and Chalet Cuveloup. Sunday in Chalet Carclion and Chalet Emile. For Summer our changeover day is Saturday in all chalets except Chalet Carclion which can be Saturday or Sunday.
Arrival Transfer.
  • We will contact you with details about your arrival transfer in the week before your arrival day in resort.
  • Your transfer will be done by Riders Refuge or a professional transfer company who will meet you in departures at the airport and escort you to your mini bus. The journey should take no longer than 90 minutes weather and traffic permitting.
  • If in unforeseen circumstances, which are not in the control of Riders Refuge or the Transfer Company i.e. lost luggage, delayed flights, adverse weather, flight cancellations, traffic conditions etc. You will be notified immediately asked to wait in the café area at Geneva Airport and kept informed of the situation.
  • You may be required to wait up to 120 minutes after reaching the arrivals area of the airport for other flights arriving. If your flight lands before 09.00a.m or after 21.00 waiting times may be longer. In the event your flight is delayed or another flight on your shared transfer is delayed you may be required to wait longer. If you prefer we can organise a private transfer for an additional charge please ask for information on this when booking.
Return Transfer.
  • The time of your return transfer will be decided by the Riders Refuge or the transfer Company and you will be informed of this at dinner on the last night of your holiday, if you have failed to give us the correct information for your return flight we will be unable to change the time you leave resort the next day.
  • It is normal practice to leave up to 4-6 hours prior to the flight time so that you arrive at the airport safely and in adequate time.
  • If in unforeseen circumstances you miss your flight you must then claim via your holiday insurance and Riders Refuge will supply paperwork to support your claim.

RESORT SHUTTLES

  1. We provide a free transportation service in resort for your convenience to and from the ski slopes. This will be done in our minibus, use of this vehicle is taken entirely at your own risk, Riders Refuge will take no responsibility for death or personal injury caused through the use of this service.
  2. We will provide this service free of charge and this does not form part of your holiday cost.
  3. The shuttle service will only run in set times and will not run on the chalet staff’s day off, unless organised at time of booking.

HOT TUBS & SAUNA

  1. Riders Refuge have a daily routine to ensure that our hot tubs are cleaned and maintained correctly. Please read our hot tub safety rules and adhere to them you will find these in your welcome files in each bedroom and also in the lounge area of each chalet. Riders Refuge will make every effort to ensure the health and safety of all our guests using the hot tub, but we cannot guarantee it.
  2. Our guests will use the hot tub at their own risk and special care should be taken at all times. Our staff are also there to answer any questions you may have regarding the use or our hot tub maintenance.
  3. We recommend that children under the age of 12 years of age do not use the hot tub. Children under the age of 16 years must be supervised by an adult at all times to avoid the risk of drowning or overheating.
  4. We recommend that you do not drink alcohol before or whilst using our hot tubs.
  5. Riders Refuge reserve the right to close hot tubs for reasons related to damage, chemical imbalance, breakdown, vandalism or unsafe conditions. Prior notice is not necessary and in such cases compensation will not be payable to guests.

RESPONSIBILITIES

  1. All guests should act and behave in such a manner as to not affect or disrupt the enjoyment of other guests or the local residents, or have a negative effect on the reputation of Riders Refuge.
  2. Inappropriate or threatening behaviour to Riders Refuge employees or fellow guests will not be tolerated.
  3. Riders Refuge reserve the right to terminate your stay immediately, if your behaviour is intolerable to others. In the case of non-exclusive use bookings Riders Refuge cannot be held responsible for conflicts arising between separate parties as a result of them not liking each other. No compensation will be payable.
  4. Riders Refuge will not be held responsible for any theft or loss of any personal possessions from our premises or  vehicles. We will make every effort to ensure the security of all guests personal possessions although we cannot guarantee this.
  5. Guests’ will be responsible for ensuring the chalet is locked and secure when staff are not present this includes all outdoor equipment stores, windows and balcony doors.
  6. Riders Refuge do not include insurance as part of their holidays. The Party leader is responsible to ensure each member of their party is responsible for all their own personal possessions. Riders Refuge will assume that each guest will have the appropriate travel insurance that will cover them in the event of an accident or loss or damage of personal possessions.

CHILDREN

  1. Riders Refuge asks parties with children under 14 years to take the chalet exclusively. However we reserve the right to allow groups with children under 14 years to make a part booking during peak weeks and school holidays. We will make you aware that there are children booked into the chalet before you confirm your booking and if there are no children booked in to the chalet at the time of booking we will not take a booking that includes children under 14years.
  2. Riders Refuge will provide high-chairs, travel-cots and car seats for infants and babies on request. We will not accept responsibility should an accident or injuries occur as a result of the use of such items. Parents assume full responsibility for the safety and wellbeing of their children at all times.

EQUIPMENT

Any guest who loses or damages any Riders Refuge equipment whilst in his/her care will be charged by for the appropriate replacement or repair cost of that equipment as determined by Riders Refuge.

PRIVACY POLICY

THIRD PARTIES

  1. Riders Refuge are happy to assist in sourcing and booking any extra services you may want during your holiday. All activities run by other companies will be subject to their own terms and conditions, Riders Refuge will take no responsibility for any grievance you will have with the supplier and you will need to take this up with them directly. This includes any ski or snowboard lessons we will book for you.

All information and discription on the Riders Refuge website are given in good faith and are believed to be correct. For the avoidance of doubt in the event of any conflict between the details on our website and the T&Cs the provisions of the T&Cs prevail. The contract and the Agreement is made in accordance with these T&Cs

 

SELF CATERED CHALETS

If at any time prior to the start of the holiday, there is a change of Party Leader Riders Refuge must be notified by email by the original Party Leader.

BOOKING

  1. Once availability of the self catered property has been confirmed by Riders Refuge we will hold your holiday for 5 days, your booking is then secured upon receipt of 25% deposit paid by cash or cheque into a branch of HSBC, bank transfer or paypal there is a 3.5% charge by paypal for this service. A completed Booking Form must also be submitted within 7 days to complete a reservation.
  2. All self catered Properties are taken on an exclusive basis the Group Leader is liable for the full cost of that property, as stated on your Booking Form, irrespective of party size and final number of guests confirmed. If your party size exceeds the agreed maximum capacity of the property, as stated on your Booking Form, an additional charge will be incurred. (Please note that providing there is an option we will strive to help without charge)
  3. The total amount of your outstanding balance must be paid 8 weeks prior to your arrival date. If you book within this time scale the full balance of the holiday must be paid at the time of booking to secure your booking.

  7. Under no circumstances are additional guests allowed to stay in the self catered property other than those specified on the Booking Form. Failure to comply with this may result in your booking being terminated immediately in resort and you and your party being asked to vacate the relevant self catered property immediately. No compensation will be paid for this.

PRICES

The prices quoted on the Riders Refuge website for self catered accommodation do not include transfers but do include one week’s (7 nights) accommodation, bed linen and towels, tourist tax and daily hot tub maintenance. Prices do not include flights or travel costs, holiday and medical insurance, childcare, lift passes, equipment hire and lessons unless otherwise stated.
  3. Riders Refuge reserves the right to increase or decrease the advertised price of unsold holidays at any time.

DEPOSIT

  1. We require a security deposit of £500 which is to be made by bank transfer 7 days before your arrival and will be credited back to your account within 7 days of your departure minus any breakages and if the chalet is not left as found.

PAYMENT

  4. Riders Refuge will not be held responsible for charges incurred by yourself for international bank transfer costs or charges imposed on you by your bank or card issuer. This also includes payment discrepancies or additional costs caused by variations in exchange rates used by your bank or card issuer.
  5. In the event of late payment of your final balance, any charges or loss of revenue incurred on our behalf will be added to your balance. We reserve the right to cancel your holiday should you fail to pay your final balance. No compensation will be provided.

Whilst we will make every effort to ensure this does not happen, if it is unavoidable Riders Refuge will contact the Group Leader as soon as possible. In this instance Riders Refuge will endeavour to make alternative arrangements for accommodation to the same value if available, offer an alternative holiday with Riders Refuge up to the same value or offer a full refund of any monies paid in relation to the booking of a self catered property. No other compensation will be offered.
  2.   3. Non receipt of the balance of the cost of the holiday will not be taken as notification of cancellation. Clients will still be liable for cancellation charges as shown below if they subsequently cancel the holiday.
  4. The party leader must make any cancellations for any member of his/her party this must be done by email. Cancellations can be made at any time. Riders Refuge will not take responsibility for non-receipt of the written cancellation.
  5. If a cancellation is made the deposit will be retained and no refund will be made within 8 weeks of your arrival in resort.
  6. Please note that Riders Refuge will not accept nonpayment of the outstanding balance as cancellation of the holiday and therefore you will still incur cancellation charges and be liable for payment

LIABILITY

Riders Refuge will not accept any liability where-so-ever or how-so-ever arising, or pay compensation for:-

  • Any Force Majeure event.

  • Travel arrangements made by the group or on behalf of the group.
  • Any personal injury or death, where-so-ever or howsoever arising, caused to any visitor and/or any member of the group for their duration of stay.
  1.  These limitations are not intended to exclude any statutory rights the group and/or visitor may have.
  2. These T &Cs and any non-contractual obligations arising out of or in connection with it are governed by English laws. The courts of England have exclusive jurisdiction to settle any dispute arising out of or in connection with these terms and conditions including a dispute relating to the existence, validity, termination of this T &Cs and any non-contractual obligation arising out of or in connection with either this T &Cs or the negotiation of the contract contemplated by these T &Cs.

Due to covid and reduced flight numbers waiting times may be increased. There maybe also be increased waiting times due to a driver shortage as a result of new Swiss working directives from winter 21/22 onwards.

Return Transfer.
  • The time of your return transfer will be decided by the Riders Refuge or the transfer Company and you will be informed of this at dinner on the last night of your holiday, if you have failed to give us the correct information for your return flight we will be unable to change the time you leave resort the next day.
  • It is normal practice to leave up to 5 hours* prior to the flight time so that you arrive at the airport safely and in adequate time.
  • If in unforeseen circumstances you miss your flight you must then claim via your holiday insurance and Riders Refuge will supply paperwork to support your claim.

HOT TUB

  1. Riders Refuge have a daily routine to ensure that our hot tubs are cleaned and maintained correctly. Please read our hot tub safety rules and adhere to them you will find these in your welcome file. Riders Refuge will make every effort to ensure the health and safety of all our guests using the hot tub we cannot guarantee it.
  2. Our guests will use the hot tub at their own risk and special care should be taken at all times. Our staff will be around each day and are also there to answer any questions you may have regarding the use or our hot tub maintenance.
  3. We recommend that children under the age of 12 years of age do not use the hot tub. Children under the age of 16 years must be supervised by an adult at all times to avoid the risk of drowning or overheating.
  4. We recommend that you do not drink alcohol before or whilst using our hot tubs.
  5. Riders Refuge reserve the right to close our hot tubs for reasons related to damage, chemical imbalance, breakdown, vandalism or unsafe conditions. Prior notice is not necessary or possible and in such cases compensation will not be payable to guests.

RESPONSIBILITIES

  1. All guests should act and behave in such a manner as to not affect or disrupt the enjoyment of other guests and the local residents, or have a negative effect on the reputation of Riders Refuge.
  2. Inappropriate or threatening behaviour to Riders Refuge employees or fellow guests will not be tolerated.
  3. Riders Refuge will not be held responsible for any theft or loss of any personal possessions from our premises / vehicles. We will make every effort to ensure the security of all guests personal possessions although we cannot guarantee this.
  4. Guests will be responsible for ensuring the chalet is locked and secure at all times this includes all outdoor equipment stores, windows and balcony doors.
  5. Riders Refuge do not include insurance as part of their holidays. The Party leader is responsible to ensure each member of their party is responsible for all their own personal possessions. Riders Refuge will assume that each guest will have the appropriate travel and medical insurance that will cover them in the event of an accident or loss or damage of personal possessions.

CHILDREN

  1. Riders Refuge will provide high-chairs, travel-cots and car seats for infants and babies on request. We will not accept responsibility should an accident or injuries occur as a result of the use of such items. Parents assume full responsibility for the safety and wellbeing of their children at all times.

EQUIPMENT

Any guest who loses or damages any Riders Refuge equipment whilst in his/her care will be charged for the appropriate replacement or repair cost of that equipment as determined by Riders Refuge.

THIRD PARTY ACTIVITIES

  1. Riders Refuge are happy to assist in sourcing and booking any extra services you may want during your holiday. All activities run by other companies will be subject to their own terms and conditions, Riders Refuge will take no responsibility for any grievance you will have with the supplier and you will need to take this up with them directly. This includes any ski or snowboard lessons/guiding or mountain bike lessons/guiding  we will book for you.

All information and discription on the Riders Refuge website are given in good faith and are believed to be correct. For the avoidance of doubt in the event of any conflict between the details on our website and the T&Cs the provisions of the T&Cs prevail. The contract and the Agreement is made in accordance with these T&Cs
